How to make a signature transparent

By the Docmend team · Updated · 5 min read

Short answer

Sign in dark ink on plain white paper and photograph it in good, even light. Then remove the white: in desktop Word, use Set Transparent Color; on a Mac, use Preview’s remove-background button or Instant Alpha and keep it as a PNG. No paper signature? Draw or type one in Docmend’s Signature maker, from the team behind the Docmend Chrome extension, which downloads it as a see-through PNG.

A signature with a white box around it looks pasted on, especially over a line, a coloured header or a shaded table cell. A transparent signature sits on the page like real ink. Below are the methods documented by Microsoft and Apple, how to get a clean starting photo, and how to put the finished signature on a Word file or PDF.

Start with a good signature photo

Every “remove the background” method works by removing one colour, or what the software sees as one area of colour. The more even that background is, the cleaner the result. Before you photograph your signature:

Apple’s Markup help describes Instant Alpha as removing the background colour from an image, and Microsoft says Set Transparent Color works best with simple, solid-colour pictures. A flat white background is what both are built for.

In Microsoft Word (desktop)

Set Transparent Color

Microsoft’s steps for making one colour of a picture transparent:

  1. Go to Insert → Picture and add your signature photo.
  2. Select the picture.
  3. On the Picture Format tab, select Color (or Recolor), then Set Transparent Color.
  4. Click the white background. It disappears, and the page shows through.

This works only on something inserted as a picture, not on a picture used to fill a shape. To undo it, select Reset Picture. It isn’t available in Word for the web; Microsoft says you need desktop Word on Windows or macOS.

Why it sometimes leaves grey specks

You can make only one colour transparent, and Microsoft warns that areas that look like a single colour may be made up of a range of subtle colour variations. In a phone photo, “white” paper is often many shades of off-white and grey, so some of it stays behind as specks or a faint halo. The fix is usually a better photo: brighter, more even light and a plainer sheet of paper.

Not the same as the Transparency slider

Office also has a Transparency option on the Picture Format tab, with presets from 0% to 95%. That makes the whole picture see-through, ink included, which isn’t what you want for a signature. Use Set Transparent Color instead.

For placing the signature on a line, resizing it and saving it with your typed name for reuse, see how to sign a Word document electronically.

On a Mac with Preview

Preview has two ways to do it.

Remove the background in one click

Following Apple’s Preview help: open the image in Preview and click the remove-background button. If Preview asks whether to convert the document to a PNG file, click Convert, or click Cancel and choose File → Duplicate first if you want to keep the original photo. Choose Edit → Undo to put the background back.

Instant Alpha

In the Markup toolbar, choose Instant Alpha, then click and drag the pointer over the background colour you want to remove. A dotted line shows your selection. Press Delete to make the selected area transparent. This gives you more control when one click leaves bits behind.

Keep the result as a PNG. PNG files can store transparency; JPG files can’t, so saving as JPG fills the background back in.

If you only want to sign a PDF in Preview, you may not need an image at all: Preview’s Sign tool can capture your signature with the Mac’s camera, held up on white paper, or from the trackpad.

No paper signature? Make one from scratch

If you don’t have a paper signature to photograph, Docmend’s Signature maker lets you “draw your signature or type your name, pick the ink colour, and download it as a see-through PNG to put on any document.” Its page explains that the background is transparent, so the signature sits cleanly on any document without a white box around it.

  1. Draw your signature with your mouse or finger, or type your name.
  2. Pick the ink colour and background.
  3. Click Download signature.

Put your transparent signature on a document

On a Word file

Insert the PNG with Insert → Pictures and position it on the signature line. Our guide on signing a Word document covers saving it as reusable AutoText.

On a PDF

Chrome, Edge, Preview and your phone can all add a signature to a PDF. See how to sign a PDF without Adobe.

Common questions

Why does my signature still have a white box?

Usually one of two things. The file was saved as a JPG, which can’t store transparency, so save it as a PNG. Or the paper wasn’t one even shade of white, so Word’s Set Transparent Color removed only part of it; retake the photo in brighter, even light.

Can I make a signature transparent in Google Docs?

Make the transparent PNG first, for example with Preview’s remove-background button on a Mac or Docmend’s Signature maker, then insert it into your Google Doc as an image.

Is a picture of my signature legally valid?

It depends on the document and the jurisdiction, so ask a lawyer for anything important. See our answer on whether an electronic signature on a PDF is legally valid.
